Matching solution for Takecarebnb
Takecarebnb connects refugees with host families, a crucial service, especially given the ongoing situation in Ukraine. Ukrainian refugees are paired with registered host families. Due to the surge in applications—30,000 in just one month—there was a significant need for scalable, smart IT solutions to manage this rapid growth.
Issue: matching supply with demand
The challenge was to create the best-fit match between supply and demand—in this case, matching refugees with host families. While an Excel document with a basic algorithm facilitated partial matches, it became impractical to work collaboratively on it as the data constantly changed. Takecarebnb also wanted to incorporate additional factors, like geo-location and distance calculation. Could Dekkers find a solution, and quickly? The answer was, of course, 'YES'!
Solution
In Zoho CRM, we designed a data structure tailored to address the challenge. Additionally, we created a visual pop-up widget to display match results, allowing users to click through and select options. Behind this widget, we programmed the matching algorithm, taking into account API limitations, data volume, optimization, and speed. For Takecarebnb, this resulted in a seamless matching process at the push of a button. What began as an Excel solution has now evolved into a scalable enterprise solution, with around 100 matches made each week and that number continuing to grow.

More Zoho apps in use
In addition to Zoho CRM and the matching process, we also integrated other Zoho apps at Takecarebnb, such as Zoho Forms and Zoho Desk. They encountered specific challenges with these apps, including: How can you quickly and easily display information from a custom CRM module within Zoho Desk?
Next, we showcase another widget, this time within Zoho Desk. This is an exciting feature that many Zoho users may not be aware of. It’s a widget embedded within Zoho Desk (the customer support tool) that displays custom information from Zoho CRM, including data from custom modules, along with associated notes and emails.

What does the customer say?
Over the past 5 months, Takecare has contacted and screened 30,000 potential host families by phone. We’ve successfully made 644 matches, placing 1,400 Ukrainian refugees with host families. Currently, we place more than 100 refugees with host families each week. For context, in all of 2021, we placed just 165 refugees.
